Administrative AssistantWe are currently looking for an Administrative Assistant to fill a temporary full-time position during tax season. The successful applicant is expected to be available to start work on January 5, 2010. The position will end on April 15, 2010. The administrative assistant receives and directs the firm's calls, and persons coming into the office. A comprehensive understanding of the firm's operations, firm members', responsibilities, and the importance of quality service is essential.
An Administrative Assistant is expected to:
• Be courteous, pleasant, and helpful on the telephone and in
person, especially when dealing with clients
• Be professionally dressed
• Be prompt, efficient, and organized when carrying out all tasks
• Maintain a neat and organized work environment and reception
area to give clients a positive first impression of the firm
and to foster efficiency and productivity
• Maintain the strict confidentiality of all clients of the firm
• Manage and maintain mail logs, inventory sheets, mailing lists, engagement
letters and other records
Assignments
In addition to tasks assigned by the firm's administrator, the Administrative Assistant's duties may include:
• Filing tax/accounting loose-leaf services
• Knowing the whereabouts of all personnel and relaying messages at least
once a day to staff members working outside the office
• Typing correspondence and proofreading
• Filing
• Labeling all shelves, files, and so on, clearly and accurately
• Gathering data for new client packages
• Sorting and distributing incoming mail, sending outgoing
mail and faxes, and distributing incoming faxes
• Making daily deposits
• Keeping the conference rooms tidy and ready for use by client and visitors
• Photocopying and assembling tax returns, financial statements, and other
miscellaneous documents
• Notifying clients to pick up completed tax returns
• Providing accounting and marketing support as needed
• Photocopying
• Purchasing office supplies
• Serving coffee to clients or guests on request
• Scheduling appointments for CPA's and Tax Preparers
Educational requirements
• High School diploma
Required licenses, certificates, knowledge, and skills
• Typing
• Ten-key
• Outlook E-mail software
• ACT Contact Manager software
• Peachtree software
Working conditions
Minimal safety hazards, general office conditions
Compensation
$10.00 - $12.00 per hour, DOE
